The depot is located in the CBD of Cairns next to the Esplanade and the Night Markets. It can be reached easily via local transport or by taxi.
Rental Charges
Rentals are charged on a 24hour period.
Payment
An initial, non-refundable deposit will be secured at the time of booking confirmation. Accepted credit cards accepted are Visa and Mastercard (transaction fee of 1.75% applies).
The balance will be secured directly by the supplier on arrival.
Credit Cards
The operator of Holiday Wheels accepts the following cards: Visa, MasterCard, American Express and Diners Club. The following surcharges apply:
Visa, MasterCard: additional 1.5% surcharge on any transaction

If you purchase a third party excess reimbursement cover, the credit card holder will be required to present his/her credit card at the rental desk in order for the car rental agent to authorize the deposit.

Exchange Rates and Refunds
All credit card transactions are conducted in Australian dollars.
Please note: In the case of refunds there could be some variance in the amount refunded compared to the amount initially charged. This is due to the fluctuation of exchange rates. We do not accept any liability for variances up or down. Refunds by credit card can take up to 15 working days depending on the renter's financial institution.

Vehicles must be collected and returned to the operator of Holiday Wheels' locations unless otherwise arranged.
Hotel pick up procedure
When the customer is ready to be picked up, simply contact the office on the contact phone number provided on the confirmation invoice. The customer will then be picked up as requested.
Drop off procedure
When dropping off a vehicle after hours at our Cairns depot the car should be parked at the front of the office at a regulated parking zone with keys underneath the driver’s seat and the car locked. The operator of Holiday Wheels' must be notified prior to leaving the vehicle.
Airport pick up procedure
On landing at the Cairns Airport, client is to contact the supplier on the phone number provided above to allow time for the supplier to arrive for collection. If there is a delayed flight and the client arrives after opening hours, it will be up to discretion of the supplier as to how to arrange the pick up. If it is really late, it will be necessary to pick up the car the following morning. The local phone number is available 24 hours and should be used after hours only in case of emergencies only.
Airport drop off procedure
When the car is left at the airport, it should be parked at the public car park with keys underneath the driver’s seat and the car locked. The operator of Holiday Wheels must be notified prior to leaving the vehicle.
Insurance
All insurance cover will be made void if any of the following exclusions are breached:
* submersion in water
* contact with salt water
* creek or river crossings
* driving through flooded areas
* beach driving
* single vehicle accidents
* overhead and underbody damages
* roll over of vehicle
Personal belongings are not covered. We recommend the renter does not leave valuables in the vehicle and should take out personal insurance.
Breach of Rental Agreement terms
Drivers Licence
Drivers not identified on the rental agreement and drivers that do not have a current open licence.
Damages
The renter will be responsible for the total cost of any damage. This will include any damage caused by willful conduct e.g. sitting or standing on the bonnet or roof of the vehicle.
Bogged Vehicles
The renter will be responsible for the cost to retrieve or recover a vehicle, which has become bogged.
Incorrect use of fuel
The renter will be responsible for any associated cost if fuel is used incorrectly (fuel being diesel or petrol). This includes any associated costs related to the incident.
Damage to underbody or overhead
Regardless of excess package taken. The renter will be responsible for any associated cost.
Keys
The cost to replace keys which have become lost, or retrieval of keys which have been locked in a vehicle.
Alcohol and Drugs
Any damage caused by driving under the influence of alcohol or drugs.
Number of passengers
The vehicle rented may only be used to legally carry the amount of passengers allowed. If more passengers are carried than allowed, the operator does not accept any responsibility.
Recovery Costs
The hirer is responsible for any recovery costs incurred through negligence regardless of the insurance excess. The operator of Holiday Wheels cannot be held responsible for any recovery costs in the case of breakdowns.
Road Restrictions
Vehicles must be kept on sealed/bitumen roads or well maintained access roads less than 500m long to recognized campgrounds at all times - with the exceptions of 4WDs. All vehicles can only be driven on recognised gazetted bitumen roads as shown on maps.
All insurance and refundable money is waived if the above conditions are breached. Any damage and/or recovery costs are the responsibility of the renter.
Restricted Areas
All vehicles: Travelling to islands is prohibited, ie. Fraser Island, Magnetic Island.
Budget vehicles (Ford Festiva's 95-98 model): Can travel North to Cape Tribulation, South as far as Mission Beach and west to Atherton Tablelands. We do not allow our budget cars outside of these areas. Only newer vehicles are permitted south of Mission Beach to Townsville etc.
Repairs
All repairs must be authorised by the vehicle provider prior to any repair work. Repairs will be approved provided the customer was not directly responsible for the damage. The operators of Holiday Wheels will reimburse you for expenses incurred for any authorised repairs as long as receipts can be presented. We will not accept any responsibility for hotel or motel charges, meals or out of pocket expenses, in the case of breakdowns or for any lost days. All vehicles are enrolled in the Australian Automobile Association and 24 Hours emergency roadside assistance is available.
Traffic Infringements
We reserve the right to charge the customer for any traffic infringements. An administration fee of $75.00 applies. All accidents must be reported to the police immediately and to the operator of Holiday Wheels within 24 hours.
Security Bond Deposit
A security bond deposit is required on all vehicles at time of collection. This is determined by the excess reduction option. - see table below. Your security bond deposit can be paid by credit card. The credit card holder must be present and able to sign for the vehicle security bond deposit upon vehicle collection. The cardholder is jointly and severally liable for any damage to the rental vehicle. The security bond deposit is fully refundable provided the vehicle is returned on time undamaged in clean order, with a full fuel tank and to the right location. Failure to return the vehicle clean, undamaged or without a full tank or to the wrong location will incur a fee which will be advised upon return of the vehicle.

Vehicle Excess
The hirer is responsible for the excess of the cost of damage to the rented vehicle or third party property, including single vehicle accidents, windscreen and tyre damage, towing and recovery costs, theft, fire, break-in or vandalism. This also includes the cost of the daily rentals for the period the vehicle is off road for accident repairs. The excess is applicable regardless of who is at fault and must be paid at the time the accident report is completed, not at the completion of the rental. The excess will be refunded if we are successful in recovering the cost of the damages from the third party. The excess applies in respect of each claim, not rental. All damage covered is forfeited if the terms and conditions of the rental agreement are breached. Please note: Complete and detailed information of your accident will assist in finalizing your claim in a shorter period.

Change of Vehicle
Should the vehicle booked be unavailable through unforeseen circumstances, the operator of Holiday Wheels reserves the right to substitute an alternative vehicle without prior notification. This shall not constitute a breach of contract and does not entitle the hirer a refund.
Age Restrictions
Drivers must be 21 years or over, with a full driver’s licence. If the licence is not in English format then an international driver’s licence is required. Driver aged between 21 years and 24 years are not charged additional insurance charges. People of an age between 19 and 21 can apply, with special conditions to hire a vehicle. Please ask our friendly staff for further information.
Protection Package
Personal Injury
The vehicle has third party insurance cover. It is likely that any other vehicle involved in an accident also has third party insurance cover. Depending on the circumstances of the accident, the renter may be entitled to claim for their personal injury against the third party insurance of the party responsible for the accident. The extent of such third party insurance varies in different states and territories and the operators of Holiday Wheels strongly recommend that all passengers take out their own Personal Injury Travel Insurance. If the renter is responsible for the accident the vehicle's third party insurance should cover the renter for the liability except where the renter has committed a breach of the vehicle's third party insurance, ie. drink driving.
Property Damage
The vehicle is insured for damage to it or damage to the property of a third party. However the renter is responsible up to the amount of the applicable liability for the cost of such damage to third party property or to the rented vehicle. The renter is also responsible for the cost of demurrage for the period the vehicle is unavailable due to repairs (the charge levied for such delay). The liability applies in respect of each claim, not per rental. In addition to the liability an administration fee of $75 will be charged per claim.
The liability is applicable regardless of who is at fault and must be paid at the time the accident is reported to Holiday Wheels, not at the completion of the rental period.
Cleaning Fee
A cleaning fee is imposed if the vehicle is not returned in a reasonable condition to the manager’s discretion.
Smoking
No smoking in all vehicles for your safety and personal comfort of future user.
Night Time Driving
Night time driving is not advisable on the highways. There is no insurance for single vehicle accidents (one car only) after sunset up to sunrise. It is prohibited in the outback due to the large number of injured animals ie. kangaroos and people falling asleep while driving.
Do not swerve for animals
If an animal runs out in front of you do the following: Apply the breaks with a pumping action, keep straight, do not swerve!
If you hit the animal you may sustain damage. If you swerve you will roll and definitely cause serious injury to you and the people traveling with you and damage to your/other vehicles.
Animals
No animals are permitted in our vehicles, with the exception of guide dogs.

Cancellation Fees
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:
More than 28 days prior to pick up – no fee
10-27 days prior to pick up 30% of rental price
5-9 days prior to pick up 50% of rental price
4-0 days prior to pick up or No-Show 100% of rental price
If the vehicle is returned early for any reason there is no refund for the unused rental days.

On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.
Liability

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:

To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):

To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.

Change of Vehicle
Should the vehicle booked be unavailable through unforeseen circumstances, the operator of Holiday Wheels reserves the right to substitute an alternative vehicle without prior notification. This shall not constitute a breach of contract and does not entitle the hirer a refund.
Age Restrictions
Drivers must be 21 years or over, with a full driver’s licence. If the licence is not in English format then an international driver’s licence is required. Driver aged between 21 years and 24 years are not charged additional insurance charges. People of an age between 19 and 21 can apply, with special conditions to hire a vehicle. Please ask our friendly staff for further information.
Protection Package
Personal Injury
The vehicle has third party insurance cover. It is likely that any other vehicle involved in an accident also has third party insurance cover. Depending on the circumstances of the accident, the renter may be entitled to claim for their personal injury against the third party insurance of the party responsible for the accident. The extent of such third party insurance varies in different states and territories and the operators of Holiday Wheels strongly recommend that all passengers take out their own Personal Injury Travel Insurance. If the renter is responsible for the accident the vehicle's third party insurance should cover the renter for the liability except where the renter has committed a breach of the vehicle's third party insurance, ie. drink driving.
Property Damage
The vehicle is insured for damage to it or damage to the property of a third party. However the renter is responsible up to the amount of the applicable liability for the cost of such damage to third party property or to the rented vehicle. The renter is also responsible for the cost of demurrage for the period the vehicle is unavailable due to repairs (the charge levied for such delay). The liability applies in respect of each claim, not per rental. In addition to the liability an administration fee of $75 will be charged per claim.

Cleaning Fee
A cleaning fee is imposed if the vehicle is not returned in a reasonable condition to the manager’s discretion.
Smoking
No smoking in all vehicles for your safety and personal comfort of future user.
Night Time Driving
Night time driving is not advisable on the highways. There is no insurance for single vehicle accidents (one car only) after sunset up to sunrise. It is prohibited in the outback due to the large number of injured animals ie. kangaroos and people falling asleep while driving.
Do not swerve for animals
If an animal runs out in front of you do the following: Apply the breaks with a pumping action, keep straight, do not swerve!
If you hit the animal you may sustain damage. If you swerve you will roll and definitely cause serious injury to you and the people traveling with you and damage to your/other vehicles.
Animals
No animals are permitted in our vehicles, with the exception of guide dogs.

Cancellation Fees
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:
More than 28 days prior to pick up – no fee
10-27 days prior to pick up 30% of rental price
5-9 days prior to pick up 50% of rental price
4-0 days prior to pick up or No-Show 100% of rental price
If the vehicle is returned early for any reason there is no refund for the unused rental days.

On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.
Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.
When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.
While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.

Insurance
All insurance cover will be made void if any of the following exclusions are breached:
* submersion in water
* contact with salt water
* creek or river crossings
* driving through flooded areas
* beach driving
* single vehicle accidents
* overhead and underbody damages
* roll over of vehicle
Personal belongings are not covered. We recommend the renter does not leave valuables in the vehicle and should take out personal insurance.
Breach of Rental Agreement terms
Drivers Licence
Drivers not identified on the rental agreement and drivers that do not have a current open licence.
Damages
The renter will be responsible for the total cost of any damage. This will include any damage caused by willful conduct e.g. sitting or standing on the bonnet or roof of the vehicle.
Bogged Vehicles
The renter will be responsible for the cost to retrieve or recover a vehicle, which has become bogged.
Incorrect use of fuel
The renter will be responsible for any associated cost if fuel is used incorrectly (fuel being diesel or petrol). This includes any associated costs related to the incident.
Damage to underbody or overhead
Regardless of excess package taken. The renter will be responsible for any associated cost.
Keys
The cost to replace keys which have become lost, or retrieval of keys which have been locked in a vehicle.
Alcohol and Drugs
Any damage caused by driving under the influence of alcohol or drugs.
Number of passengers
The vehicle rented may only be used to legally carry the amount of passengers allowed. If more passengers are carried than allowed the operators of Holiday Wheels do not accept any responsibility.
Recovery Costs
The hirer is responsible for any recovery costs incurred through negligence regardless of the insurance excess. The operators of Holiday Wheels cannot be held responsible for any recovery costs in the case of breakdowns.
Road Restrictions
Vehicles must be kept on sealed/bitumen roads or well maintained access roads less than 500m long to recognized campgrounds at all times - with the exceptions of 4WDs. All vehicles can only be driven on recognised gazetted bitumen roads as shown on maps.
All insurance and refundable money is waived if the above conditions are breached. Any damage and/or recovery costs are the responsibility of the renter.
Travelling to islands is prohibited, ie. Fraser Island, Magnetic Island.
Repairs
All repairs must be authorised by Holiday Wheels prior to any repair work. Repairs will be approved provided the customer was not directly responsible for the damage. The vehicle provider will reimburse you for expenses incurred for any authorised repairs as long as receipts can be presented. We will not accept any responsibility for hotel or motel charges, meals or out of pocket expenses, in the case of breakdowns or for any lost days. All vehicles are enrolled in the Australian Automobile Association and 24 Hours emergency roadside assistance is available.
Traffic Infringements
We reserve the right to charge the customer for any traffic infringements. An administration fee of $75.00 applies. All accidents must be reported to the police immediately and to the vehicle provider within 24 hours.
Security Bond Deposit
A Security Bond Deposit is required on all vehicles at time of collection. This is determined by the excess reduction option. - see table below. Your Security Bond Deposit can be paid by credit card. The credit card holder must be present and able to sign for the vehicle Security Bond Deposit upon vehicle collection. The cardholder is jointly and severally liable for any damage to the rental vehicle. The Security Bond Deposit is fully refundable provided the vehicle is returned on time undamaged in clean order, with a full fuel tank and to the right location. Failure to return the vehicle clean, undamaged or without a full tank or to the wrong location will incur a fee which will be advised upon return of the vehicle.
If you purchase a third party excess reimbursement cover, the credit card holder will be required to present his/her credit card at the rental desk in order for the car rental agent to authorize the deposit.
Vehicle Excess
The hirer is responsible for the excess of the cost of damage to the rented vehicle or third party property, including single vehicle accidents, windscreen and tyre damage, towing and recovery costs, theft, fire, break-in or vandalism. This also includes the cost of the daily rentals for the period the vehicle is off road for accident repairs.
